Send and Receive Shoulder Dates for Groups from Agilysys Sales & Catering

The Stay - Agilysys Sales & Catering integration is enhanced to send and receive shoulder dates for groups from Sales & Catering to Stay. The shoulder dates sent are received and saved for the groups in Stay.

Previously, the shoulder dates sent for the groups from Sales & Catering were not accepted in Stay.

Property Setting

To use this feature, the Send Shoulder Dates checkbox in the Groups Out section of the Sales & Catering interface (InterfacesCloud SettingsSettings) and the Create Room Blocks for Shoulder Dates flag in the Groups Shoulder Date section in the Groups tab of the Property Setup screen (All SettingsGeneral ➜ Property, Buildings & Outlets) must be enabled. This flag supports the following functionality:

  • Enabled: When enabled, the shoulder dates sent from Sales & Catering are received and saved for the groups in Stay.

  • Disabled: When disabled, the group requests to create a group with shoulder dates will not be processed in Stay, and the group will not be created.

When the flag is disabled after the group bookings are received from Sales & Catering, the previously received bookings are not modified. The modified setting will be applied only to the future groups created after the setting was modified.

For groups created in Sales & Catering, the default arrival and departure shoulder days configured for the property in the Number of Days field in the Groups Shoulder Date section in Stay (All Settings  General  Property, Buildings & Outlets Groups  Groups Shoulder Dates) will not be applied. Only for groups created in Stay, the value configured in this field is applied and the number of shoulder days and room block details are sent to Sales & Catering.

The group details sent from Sales & Catering will not be saved in Stay when the arrival and departure shoulder dates are in the past. After the inclusion of shoulder dates, when the duration of the group exceeds 365 days, the shoulder dates will be ignored, and the following message is sent to Sales & Catering when a create or modify request is received for a group in Stay: Shoulder Dates not added to the group as the Group Booking Horizon exceeds 365 days.

Room Block Details

The details of the room blocks sent for the shoulder dates in the create or modify request from Sales & Catering are saved in the Room Blocks tab of the groups in Stay.

When a request to modify a group is sent or received between Stay and Sales & Catering, the option selected for the Inventory for Shoulder Dates field at the property level (All Settings General Property, Buildings & Outlets Groups Groups Shoulder Dates) is not considered to allocate or block the room details. Instead, the setting configured at the group-level is considered (Groups Room Blocks Group Details Inventory for Shoulder Dates) to allocate or block the rooms.

When the setting is not configured at the group-level, then the property-level setting is considered to block or allocate rooms for the shoulder dates.

The create or modify request sent from Sales & Catering to Stay is processed based on the following settings configured:
